Privacy Policy

Last updated 5 October 2026

Octrahire is a product of Klipit by BOVA, operated by Bova Infotech Pvt. Ltd. (“Klipit”, “we”, “us”). This policy explains what personal data Octrahire collects, why, who it is shared with, how long it is kept and the choices you have. It covers octrahire.ai, app.octrahire.ai and the Octrahire AI interviewer. Questions or requests: info@klipit.co.

Who is responsible for your data

  • When you use Octrahire yourself (your own account, practice interviews, your profile and résumé), Klipit decides how that data is used.
  • When an employer or university uses Octrahire to assess you (for example, you apply to a role or interview through your campus), that organisation decides how your application is used and Klipit processes it on their behalf, under our agreement with them. Questions about a hiring decision should go to that organisation; we will help them answer.

What we collect

  • Account and profile: name, email, phone, university, course and year, student ID if your campus uses one, headline, location, links (LinkedIn, GitHub), skills, education and target roles.
  • Résumé and documents: files you upload (up to 8 MB each) and the text we read from them.
  • Applications: roles you apply to, your answers to application questions, and the stage your application is at.
  • Interview data: the transcript of what you and the interviewer said, your answers and any code you write, round scores, and the written report.
  • Camera and microphone: during a live interview, your audio and low-resolution camera frames are streamed to our AI voice provider so the interviewer can hear and see you. Video is never stored. Audio is stored only if you switch on “Store my recordings” (off by default).
  • Delivery and integrity signals: while your camera is on we estimate signals such as gaze direction, head position, whether you left the frame, engagement, confidence and composure, and we record events such as pasting or switching tabs. See below for how these are used.
  • Optional details: if you choose to, nationality, gender and age band, used only to check that hiring results are fair across groups. You can leave these blank.
  • Employer and university staff: name, work email, role, the actions you take in the dashboard (kept in an audit log) and, for employers, the trade licence you submit for verification.
  • Demo requests: the name, email, organisation, role, team size and message you send through the octrahire.ai demo form.
  • Technical data: IP address and browser type for sign-ins, security and abuse prevention.

How we use it

  • To run interviews, score them against the role’s rubric and write your report and feedback.
  • To match you to roles and let you apply, and to move your application through an employer’s pipeline.
  • To check claims on your résumé against public sources (such as your public GitHub activity) and add a note for reviewers.
  • To give universities placement and readiness reporting for their own students.
  • To send service emails (sign-in codes, invitations, interview links, application updates).
  • To keep the platform secure, prevent fraud and meet legal obligations.
  • With your separate opt-in only: to improve our models and to count toward aggregate statistics (see below).

AI and automated decisions

  • AI asks the interview questions, transcribes your answers, scores them against the rubric and flags things worth a closer look. AI never rejects or hires anyone. Rejecting or hiring a candidate needs a person, who must record a reason.
  • Finishing an interview moves your application to “interviewed” and gives it a score that reviewers can sort by.
  • Delivery and integrity signals are not part of your score. They appear as a separate, advisory note on the report for a human reviewer. Poor lighting or a covered face is recorded as “not measured”, never as a flag.
  • Employers can hide candidates’ names and details until shortlisting (blind review).
  • You can ask for a person to review your application, or object to automated processing, from your application page. The employer must respond within 2 working days.

Who sees your data

  • The employer you apply to, or your university, sees your application, report and the data needed to assess it. Nobody else does.
  • Talent marketplace (opt-in): if you choose to be discoverable, verified employers can see your profile for the period you choose (7 to 180 days), with your name hidden by default. Your identity is shared only after you accept an introduction.
  • Report links: if you share a report or résumé link, anyone with that link can open it.
  • Service providers who process data for us under contract, only to run Octrahire:
    • Amazon Web Services (hosting, database, file storage and email), in India (Mumbai, ap-south-1)
    • Google (Gemini) and OpenAI, for the live voice interviewer and for transcription
    • Simli, to animate the interviewer’s face from the interviewer’s own voice (it does not receive your audio or video)
    • Amazon Web Services (Amazon Bedrock), Google and OpenAI, for scoring and written feedback
    • Google Sign-In, if you choose to sign in with Google
    • GitHub and web search providers, for résumé checks
    • An employer’s own applicant tracking system (such as Greenhouse, Ashby or Workable), if that employer connects it
  • Legal reasons: where required by law, court order or a competent authority, or to protect people’s safety or our rights.
  • Business transfer: if Klipit or Octrahire is merged or sold, your data would move under this policy and we would tell you.

Your data is stored in India, and some AI providers process it in other countries. We use providers that do not train their models on your content and we transfer data only as needed to provide the service, with the safeguards required by law.

We do not sell your personal data

We never sell your name, contact details, résumé, recordings or transcripts. Separately, and only if you switch it on (it is off by default), your de-identified results can help improve our interviewer and count toward aggregate statistics that we publish and may sell, such as interview readiness by field across campuses. A statistic is only produced from at least 20 people and 5 companies, and individuals can never be picked out. Turning this down changes nothing else. You can withdraw at any time, and you are removed from statistics within a day.

How long we keep it

  • Interview sessions (transcripts, scores, signals and reports) are deleted automatically after 90 days.
  • Audio recordings you chose to store are deleted after at most 90 days.
  • Your account, profile and applications are kept while your account is open. When an interview is deleted, the application keeps its outcome but not the interview data.
  • Security logs are kept for up to 12 months, and backups for 7 days.
  • We may keep specific records longer when the law requires it or to resolve a dispute.

Your rights and choices

  • Access and export: download your data from your profile at any time.
  • Correction: edit your profile, or ask us to fix anything you can’t edit.
  • Deletion: delete your account from your profile, or email us. Staff accounts are closed by their organisation.
  • Withdraw consent: turn off recordings, the marketplace or research use whenever you like.
  • Object and human review: object to automated processing or ask for a person to review your application.
  • Complain: you can contact us first, and you may complain to the data protection authority where you live.

We answer requests within 30 days. We follow the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), India’s Digital Personal Data Protection Act, 2023 and Information Technology Act, 2000, and other laws that apply to you.

Security

Data is encrypted in transit (TLS) and at rest. Our database is not reachable from the internet, sign-in uses one-time email codes so there are no passwords to steal, staff access is limited to what each role needs and every staff action is logged. No system is perfectly secure; if a breach affects your data we will tell you and the authorities as the law requires.

Cookies and local storage

octrahire.ai uses no cookies, analytics or advertising trackers. The Octrahire app keeps your sign-in and language choice in your browser so you stay signed in, and uses one sign-in cookie for embedded interviews. We do not use advertising cookies.

Age

Octrahire is for people aged 18 or over, or of the age of majority where they live. Students under 18 may use it only through their university with the consent their university requires.

Changes to this policy

We will update the date above when this policy changes and tell you by email or in the app about any important change before it applies.
